Task Management Follow
Managing your tasks with Propertybase feels similar to other powerful task management tools. However, the major difference is that tasks in Propertybase can be assigned to specific users, related to individual contacts and related to ANY object record.
Lets say you just received a new Inquiry for a Property that someone on your team is showing this weekend. With Tasks, you can easily create a new Task and assign it to your teammate showing the Property. You can also relate the Inquiry and Contact to the Task so that your teammate has everything they need to execute effectively.
Viewing Tasks
To view your open Tasks, simply click the Tasks tab in the main navigation.
On the subsequent page you will see an overview of all your open Tasks. This includes both Tasks created by you and Tasks assigned to you by others. You can view additional details for any Task by clicking on it. In the table below, we take a detailed look at the structure of each Tasks on this page.
1. Assigned To (User) This is you! If you're an Administrator, you might see Tasks assigned to others as well. 2. Related Contact This is the Contact that the Task relates to. I.e. The person you need to call, email, etc. 3. Priority This is the Task's priority. You can select Low, Normal and High. 4. Status Tasks can have several different status, including "Not Started", "In Progress", "Completed", "Waiting on someone else" and "Deferred". 5. Comment If a Task needs additional details, you can leave those as a comment. |
Creating a Task
There are two ways to create a Task in Propertybase.
- From the main navigation, click the tab arrow and then select New Task.
- From the Task overview page, click New Task in the top right corner of the page.
When creating a new Task, the following options are available.
1. Subject This is essentially the Task itself. What needs to be done? 2. Type If you want to get specific about the type of task (for reporting or other reasons), this is where to do it. 3. Due Date This is when the Task is due. 4. Reminder Set Select this option if you would like Propertybase to remind the Assigned To User when the Task is due. 5. Date & Time If you selected to be reminded, this is the date and time of day that you would like to receive a reminder. 6. Assigned To This is the User that will be responsible for completing the Task. This User will also receive the reminder notification - if set. 7. Name This is the Contact that the Task relates to. For example: If you are assigning yourself a Task to call a new lead, then that new lead should be selected here. 8. Related To If this Task relates to any record in Propertybase (Listing, Property, Inquiry, etc.) you can select that here. 9. Comments If you would like to include additional details (not mentioned in the subject), you can do that here. 10. Status Tasks can have several different status, including "Not Started", "In Progress", "Completed", "Waiting on someone else" and "Deferred". 11. Priority This is the Task's priority. You can select Low, Normal and High. |
