Note:
Front Desk can be used with any real estate portal or MLS which sends standardized emails with lead information. We constantly extend the library of supported portals. At the moment only the listed portals are supported. This feature is only available for active accounts. 

Propertybase Front Desk is a fantastic feature for all users that makes use of real estate portals (or any standardized email) to capture leads that are interested in your properties. With it you will save time as you won’t have to go through the many emails in your inbox wasting time trying to find that specific lead. Now, with Propertybase Front Desk, the emails will be sent to Propertybase and be automatically created into a Contact and an associated Request record. This means that all your new leads from your real estate portals will be neatly organized within your Propertybase CRM and easily searchable.

How does it work? 
Whenever a client would fill out the contact form in your preferred property portal, in addition to receiving an email, their details are collected, sorted and pushed into Propertybase. In this instance a new Contact record is created. The basic contact information will be parsed from the email and inserted to the respective fields. A Request record is then created with the criteria that particular contact was searching for. A potential buyer most likely will submit more then one form, so each one will be captured in a new request record tracking the lead every step of the way.

Administrator Setup

Propertybase Front Desk is available in-product and requires initial setup. The Administrator of your organization will need to first go through the setup of activating the Webservices for your org. Once this process is complete and the admin have received the site license the following information will needed to be sent to our support portal:

  1. The Webservice endpoint url with the Web-to-Prospect REST path added to it.
    Example: https://yourinstance.salesforce.com/services/apexrest/pba/webtoprospect/v1/
  2. The webserviceWebToProspect_token - This will need to be generated by the Administrator. It can be any code, but their are tools (hash generators) that generate strong tokens. 
  3. Granted login access
  4. Your Organizational ID
  5. The Record Owner (Salesforce User ID). To get the record owner read here.
  6. The supported portals desired for integration and lead creation.
  7. Email address(es) where errors, feedback or general forwarding shall be send to.

From here, our Customer Success team will do the setup in the back end and provide you with your new Propertybase Front Desk email address. This unique email address will be used to forward incoming lead emails into Propertybase. The most effective way to use this email address is to add it as an additional email in your real estate portal account. This way you will still receive emails of your leads and also have them created automatically as contacts in Propertybase.

For non-supported real estate portals, please proceed and do the Front Desk administrator setup. Then contact support and provide them with the portal you are interested in integrating with Propertybase. Our team will need to analyze the emails from this portal and provide you further details about the time frame of a possible integration.
